We are currently seeking a highly organised, proactive, and welcoming Office Coordinator to join our team. Based on-site at our St Kilda Road office in Melbourne, on a full time permanent basis. 

The Opportunity

As the Office coordinator, you will play a crucial role in ensuring the smooth daily operations of the office. You will be responsible for delivering a variety of administrative tasks and providing support to various departments within the company.

This role is beautifully diverse. Beyond traditional administration, you will be the ultimate champion of our workplace engagement - taking sole responsibility for organising our End of Year event for all staff, coordinating monthly lunches, and managing our calendar of team building initiatives.

What you’ll do

  • Office Operations & Maintenance: Manage day-to-day office operations, including maintaining office supplies, equipment, and facilities. You will be responsible for maintaining the presentation of the office, including keeping the kitchen, meeting rooms and other common spaces tidy. You will also log building maintenance requests through the portal and manage the spare parking register for staff and visitors.
  • Culture & Events: Champion and attend events to drive team engagement. You will coordinate monthly Birthday Lunches, Monthly Lunch & Learn Sessions, the annual Family Day Event, and quarterly sporting and team-building events.
  • Administration & Reception: Greet visitors, clients, and employees, ensuring a positive and professional experience. Manage incoming/outgoing post and couriers, organise domestic travel and accommodation for the VIC team, and securely manage the lodgement and release of bank guarantees.
  • Accounts & Expenses: Review, code and reconcile monthly corporate credit card(s) in Concur. You will also raise, maintain and coordinate Purchase Orders and the processing of invoices, following up on unpaid invoices as required.
  • Safety & Compliance: Attend Emergency Warden training and complete a First Aid Certificate to ensure a safe environment for staff and visitors.

What you’ll bring

  • Experience: Previous administration experience, with the completion of an administration/business course (or equivalent experience) highly regarded.
  • Technical Skills: Advanced Microsoft office skills: specifically, MS Word, Excel, PowerPoint and Outlook, paired with strong and accurate typing skills. SAP System knowledge is an advantage.
  • Attributes: You possess high attention to detail and excellent organisational skills including the ability to prioritise and time management. You have a strong customer service focus and the ability to liaise with people at all levels.
  • Working Style: You are self-motivated and enthusiastic, able to work well in a team environment as well as independently, and consistently act with respect, integrity, and honesty in all circumstances.
